1. Site and Occupancy
· Bow Hill Farm is an adults-only caravan and motorhome site. Guests must be aged 18 years or over.
· The standard pitch fee is based on a maximum of two adults, one caravan or motorhome, one awning and one vehicle. The caravan or motorhome must be situated on the hardstanding pitch allocated at the time of booking.
· The pitch fee does not include additional guests, vehicles or equipment unless specifically stated at the time of booking.
· Up to two additional adults may be added to a booking, subject to the applicable additional charge and maximum pitch occupancy of four adults. Additional adults must be booked for the full duration of the stay and cannot be added for individual nights.
· The number of guests included in the booking must accurately reflect the total number of adults staying on site for the duration of the booking.
· Visitors and day guests are strictly prohibited. Only guests registered as part of the initial booking are permitted to access or stay on site. This policy is in place to maintain the peace, privacy and tranquillity of the site for all guests.
2. Pitch Allocation
· When making a booking, you are required to book the specific pitch required for your stay.
· Your caravan or motorhome must be positioned on the pitch reserved at the time of booking and must not be moved to another pitch without prior permission from Bow Hill Farm.
· Additional vehicles are not encouraged. Where an additional vehicle is required, it must be parked in the location directed by Bow Hill Farm staff.
· An additional charge will apply for additional vehicles.
· Boats, trailers or similar items are not permitted on site.
· Commercial vehicles of any type are not permitted on site.
3. Booking and Payment
· A deposit is required for each booking before the booking can be confirmed.
· The balance of the booking fee must be paid in full 14 days before the day of arrival.
· The minimum tariff applicable to selected dates will be clearly stated during the online booking process.
· Advance bookings may, at certain times, be subject to minimum stay requirements and/or payment in full at the time of booking. Failure to meet these requirements may result in the booking being cancelled immediately.
· No refund will be given where a guest chooses to depart before the end of the period originally booked.
4. Cancellation Policy
· You may cancel your booking at any time. Cancellation will take effect on the date the cancellation is received by Bow Hill Farm.
· Deposits are non-refundable.
· Cancellations made less than 30 days before the first date of the booking will require payment of the full booking balance.
· Where Bow Hill Farm cancels a booking, our liability will be limited to the full refund of monies paid in connection with that booking.
5. Arrival and Departure
· Pitches must be vacated by 12 noon on the morning of departure, unless prior consent has been obtained from Bow Hill Farm.
· Arrival on site is permitted between 2:00pm and 8:00pm.
· Please do not arrive during the night or early hours of the morning.
· Your reserved pitch will be held until 8:00pm on the day of arrival.
· If you are delayed and will arrive after 8:00pm, you must contact Bow Hill Farm by telephone or email before 8:00pm to make alternative arrangements.
· Failure to arrive by 8:00pm without prior contact may result in your booking being treated as cancelled, with no refund being due.
6. Vehicles
· Guests are responsible for ensuring that their vehicles, caravans and motorhomes are suitable for the pitch and conditions on site.
7. Site Rules and Conduct
· The site speed limit is strictly 5mph and must be observed at all times.
· No loud music, audio or other excessive noise is permitted at any time.
· Noise must be kept to an absolute minimum between 8:00pm and 8:00am.
· If Bow Hill Farm considers any noise or behaviour to be unnecessary, excessive or disruptive, guests may be asked to reduce the noise or, where necessary, leave the site.
· Bow Hill Farm reserves the right to refuse entry to, or require the removal of, any person causing a nuisance, disturbance or unreasonable disruption to the Proprietor, staff or other guests.
· As Bow Hill Farm is a working livestock farm, guests must not feed, approach or interfere with the animals.
· Children are not permitted on site.
8. Fires, Barbecues and Activities
· Barbecues are permitted provided they are raised sufficiently above the ground to prevent scorching or damage to the grass.
· Campfires are strictly prohibited.
· Chinese lanterns, sky lanterns or similar items are not permitted anywhere on the site.
· Fireworks are not permitted anywhere on the site.
· Mini motorbikes, scooters and remote-controlled cars are not permitted to be used on site.
· Drones are not permitted to be operated anywhere on the site.
· Kite flying is not permitted on the site.
9. Smoking and Vaping
· Smoking and vaping are strictly prohibited inside the washroom building, within the farmyard, and in or around any farm buildings.
· Cigarette ends and vaping products must be disposed of safely and responsibly. Under no circumstances should cigarette ends or vaping products be discarded on the ground or elsewhere on the site.
10. Dogs and Animals
· Well-behaved dogs are permitted.
· Dogs must remain under the full control of their owners at all times.
· Dogs must be kept on a lead and must not be allowed to roam freely.
· Dogs must not be left unattended on site.
· Owners are responsible for cleaning up after their dogs and ensuring that they do not cause a nuisance or disturbance to other guests or livestock.
· Cats are not permitted on site.
11. Water and Shower Facilities
· Hot and cold water is provided free of charge for personal hygiene purposes only.
· Water must not be used for washing cars, caravans, motorhomes or other vehicles.
· Shower facilities are included as part of the booking charge.
· To ensure that all guests have reasonable access to the facilities, shower use should be limited to 10 minutes per person per use.
12. Liability and Personal Property
· Bow Hill Farm accepts no responsibility or liability for loss of or damage to cars, caravans, motorhomes or other vehicles left on the premises.
· Bow Hill Farm, its Proprietor and staff accept no responsibility or liability for injury, loss of personal possessions or damage to personal property sustained on the premises, except where liability cannot lawfully be excluded.
· Any damage to property or any injury occurring on site must be reported to the Proprietor or a member of staff as soon as reasonably possible.
· Guests are responsible for ensuring that their own insurance provides adequate cover for their vehicles, caravans, motorhomes, possessions and personal circumstances for the entire duration of their stay.
13. Data and Communications
· We do not send unsolicited email communications.
· We do not sell, exchange or trade email addresses with third parties.
· Your booking and contact details will be used only for the purposes of administering and managing your reservation and communicating with you regarding your booking, subject to our applicable privacy obligations.
14. Changes to Terms and Pitch Fees
· Bow Hill Farm reserves the right to amend these Terms and Conditions and pitch fees from time to time without prior notice.
· Where a change may materially affect an existing booking, we will endeavour to notify the affected guest where reasonably practicable.
15. Events Beyond Our Control
Bow Hill Farm shall not be considered to be in breach of its agreement with a guest where it is unable to perform, or is delayed in performing, its obligations as a result of circumstances beyond its reasonable control. Such circumstances may include, but are not limited to, acts of God, industrial action, strikes, lockouts, general or partial stoppages or restraints of labour, or any other event beyond the reasonable control of Bow Hill Farm.
16. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with English law.
Bow Hill Farm and the guest agree to submit to the exclusive jurisdiction of the courts of England and Wales in relation to any dispute arising between them, whether arising from contract or otherwise.
